Leads

The Leads tab is the master list of every person in your campaign. Add more, filter, edit individual records, or remove them.

The Leads tab is the master list of every person in your campaign. Use it to see who's been contacted, who hasn't, edit individual records, add more leads, or export the list.

What's on the tab

Top to bottom:

  1. Status cards - appear above the metrics when something's running in the background or your last upload skipped some rows.
  2. Metrics row - six cards showing how the campaign is progressing.
  3. Toolbar - view toggle, status filter, advanced filter, action buttons (Add Leads / Import Leads / Export Leads / Delete All), and a search box.
  4. The leads table - one row per lead.
  5. Pagination - rows-per-page selector and page navigation at the bottom.

Status cards

These appear above the metrics row when something needs your attention. If you don't see one, nothing's running.

Scrape in progressA lead scrape is running on this campaign. Auto-refreshes as new leads land.
Leads skipped during uploadYour last import or scrape skipped some rows. Shows the reasons and counts (see below).
Scrape failedThe last scrape errored. Shows the error message so you know what to retry.

Why leads get skipped

When a scrape or import skips rows, the warning card spells out the reason. The five categories:

N duplicatesWithin the file itself - the same email appeared twice in the upload.
N in blocklistThe address is on the workspace DNC list.
N invalid emailsThe address didn't pass format/validation checks.
N incompleteRequired fields (name, email, industry, company) were missing on those rows.

Metrics row - six cards

Six numbers across the top, summarising the campaign:

Leads UploadedThe total number of leads in this campaign from any source - AI Lead Search, CSV import, or manual entry.
Leads ContactedUnique leads that have received at least one email in the sequence. Compare against Leads Uploaded to see how much of the list has been reached.
Leads In ProgressLeads who haven't yet completed the whole sequence (still receiving follow-ups). When this hits 0, the campaign moves to Completed.
Leads CompletedLeads who've received every email in the sequence without replying. They won't get any more emails.
Bounced EmailsTotal emails that failed to deliver - invalid addresses, full inboxes, temporary issues.
Email Bounce RateBounced emails as a percentage of sent emails. Target shown next to it: under 2% is healthy.

All leads - the default table view

One row per lead. The columns are:

Any custom variables you mapped during a CSV upload show as extra columns to the right of these.

A row's three-dot menu has one action: Edit Lead - opens a form to update name, company, title, industry, LinkedIn, website, company description, or location. Changes affect future sends only.

Search, status filter, advanced filter, and sort

Use these controls above the table:

Search leads… (top-right)Free-text search across the whole table - name, email, company, title, etc. Matches as you type. The fastest way to find a specific person.
StatusQuick filter for lead status, such as Not Yet Contacted, Contacted, Contacted, No Reply, Reply Received, Interested, Meeting Booked, Bounced, and Unsubscribed.
Filter (top-left, funnel icon)Opens a structured filter builder. Add one or more conditions across these fields: Name, Email, Company, Title, Location, LinkedIn URL, Website, Company Description, Email Sent (Contacted / Not Yet Contacted), Email Provider, Email Security Gateway, and Date Added. Conditions stack - each one narrows the table further.
Column headersClick any column header to sort by that column. Click again to reverse the sort.

The Status → Not Yet Contacted filter is the fastest way to see who has not been emailed yet. Use it before exporting a "remaining leads" CSV.

Use Status → Contacted, No Reply when you want leads that have been contacted but have not replied.

Status filter options

Used in the Status filter and in the Status column on each row:

Not Yet Contacted, Contacted, Contacted, No Reply, Reply Received, Interested, Not Interested, Out of Office, Meeting Booked, Completed, Completed No Reply, Bounced, Unsubscribed.

History view - per-upload breakdown

Toggle from All (list icon) to History (clock icon) at the top of the table. The History view groups leads by where they came from - each upload or scrape becomes its own collapsible source group.

For each source group you see:

Useful when you've done several uploads - a CSV, a scrape, another scrape - and want to see how each one performed compared to the others.

Selecting Leads

The checkbox in the table header opens a small selection menu:

When leads are selected, a bulk-action bar appears. It shows either the selected count or All N selected when you selected across the whole filtered result set.

Use this bar to:

  • Export the selected leads.
  • Delete selected leads.
  • Clear the selection.

Select all respects your filters

If you filter to Bounced and choose Select all, the bulk actions apply to all bounced leads that match the filter, not the entire campaign.

Toolbar - Add, Import, Export, Delete

Four buttons sit in the toolbar:

Import LeadsOpens the CSV import flow.
Export LeadsDownloads leads as a CSV. If individual rows are selected, it exports only those rows. If no rows are selected, or if you used Select all, it exports every lead matching the current search, status filter, advanced filters, and sort.
Delete AllDeletes the current lead set after a confirmation prompt. If search, status filter, or advanced filters are active, it deletes the matching filtered set. If no filters are active, it deletes every lead in the campaign. Permanent.

New leads added via Add Leads or Import Leads run through duplicate checks so the same person does not receive multiple campaigns at once. The preview-count behavior is only for AI Lead Search: in standalone Acquisity, AI Lead Search filters already-owned campaign leads out of future search availability. If Instantly is connected, AI Lead Search preview counts may still include duplicates; those duplicates are blocked only when the platform tries to upload them, and can still consume credits. CSV imports do not have an AI Lead Search preview count; duplicates are checked during upload.

Export Leads

Exports include lead data, lifecycle status data, and deliverability data where available.

Common export fields include:

  • Lead fields such as name, email, company, title, industry, location, LinkedIn, website, and company description.
  • Status, allStatuses, and statusUpdatedAt.
  • Source and date added.
  • Email activity fields, including sent, opens, and bounces.
  • Email deliverability fields such as Email Provider and Email Security Gateway when available from the provider.

Bulk delete vs. Delete All

Two paths to remove leads:

Tick rows → bulk-action bar → Delete selectedRemoving a specific subset. Combine status/search/filter controls with Select all or Select this page, then delete the matching leads.
Toolbar → Delete AllWiping a lead set clean. If filters are active, it deletes the filtered set. If no filters are active, it deletes the whole campaign's leads.

For freeing cap room, the right workflow is: Export Leads first (to keep the data), then either bulk-delete a filtered subset or use Delete All. The campaign and its analytics stay in place either way - only the lead records go.

You'll know your leads are healthy when…

  • Email Bounce Rate is under 2% (target shown on the metric card).
  • Leads Contacted climbs steadily toward Leads Uploaded as the campaign sends through its sequence.
  • Leads In Progress drops over time as leads either reply (move to Reply Received / Interested / etc.) or finish the sequence without replying (move to Completed No Reply).
  • Variables in your sequence render with real data - open a few leads via Edit Lead to spot-check that name, title, company, industry are all populated.

If something's not right

Bounce rate is climbing

Don't wait - bounces compound and damage your sender reputation. The rule of thumb:

Under 3%Safe. Keep an eye on it but no action needed.
3% to 5%Re-verify the lead list (run it through verification on re-import, or use a third-party verification service). Pause the campaign while you do.
Over 5%One of two causes: the list has too many unverified addresses, or your copy is being flagged as spam. Do both - re-verify the list and check the sequence for spam-trigger words and risky links.

The campaign auto-pauses at 5% via bounce protection.

My variables show as blank in sent emails

The lead is missing data for that field. Open the lead via the three-dot menu - Edit Lead and check whether title, company, etc. are filled. If they're blank, the variable has nothing to render.

Fix either by editing individual leads, or by re-importing a corrected CSV. See the blank-variable FAQ.

Lots of leads got skipped as duplicates

The platform deduplicates across every campaign in your workspace. A lead that's in any other campaign here gets flagged on import and skipped, so the same person doesn't get emailed by two campaigns at once.

For AI Lead Search in standalone Acquisity, the search usually filters those already-owned leads out before you import. With Instantly connected, the preview can still show duplicates and the upload can skip them later. CSV imports are checked during upload.

To force-add: delete the lead from the other campaign first, then re-import.

I want to free room under the 25k workspace cap

  1. Open an old campaign whose leads you no longer need active.
  2. Click Export Leads to keep the data.
  3. Either tick/select the leads and Delete selected, or hit Delete All to wipe the matching set in one go.
  4. Leave the campaign itself in place - its analytics stay intact and you can see what the campaign actually achieved.

How do I see which leads I haven't emailed yet?

Use Status → Not Yet Contacted, and the table narrows to just those rows. Click Export Leads with that filter on if you want a file of just the un-contacted leads.

Pagination - finding leads further down the list

The table paginates at 50 rows per page by default. Change the count via the rows per page dropdown at the bottom-left, or use the page-navigation arrows on the bottom-right to step through. Big lists can run to 80+ pages - use Search or Filter rather than paging through manually.
