Setup
Connect your calendar and meeting link to enable the AI SDR.
Before the AI SDR can book meetings for you, it needs two things connected: a calendar account and a meeting link. You can connect Google or Outlook in Settings → Email & Calendar. Until both calendar and conferencing setup are complete, you will see a blocking modal every time you open the AI SDR inbox.
What the Setup Modal Looks Like
When you click AI SDR Inbox in the left menu without completing setup, a modal titled Complete Your AI SDR Setup appears. It has two cards:
| Card | What it says | Button | Where it takes you |
|---|---|---|---|
| Calendar Connection | Connect a calendar for scheduling | Connect | Settings → Email & Calendar |
| Meeting Link | Add meeting link for appointments | Add Link | Settings → Conferencing |
You cannot use the AI SDR inbox until both setup requirements are complete. The modal only shows the missing cards, so when both are complete the modal disappears and the inbox opens normally.
Step 1: Connect Your Calendar
Open Email & Calendar settings
Click Settings in the left menu, then click Email & Calendar.
You can also click the Connect button on the Calendar Connection card in the setup modal. It takes you to the same page.
Connect Google or Outlook
Choose the account type you want to use:
| Provider | What to click | What happens |
|---|---|---|
| Google Account (Email/Calendar) → Connect | A Google OAuth popup opens. Sign in and allow calendar access. | |
| Outlook | Outlook Account (Email/Calendar) → Connect | A Microsoft OAuth popup opens. Sign in and allow calendar access. |
When the popup closes, you are returned to the settings page and the connected email appears in the account list.
Choose which calendar to use
After connecting, two options appear:
| Setting | What to do | Example |
|---|---|---|
| Create events on | Pick the calendar where the AI SDR should create meeting events | "Work Calendar" or "Sales Calls" |
| Check for conflicts | Toggle on each calendar the AI SDR should check before offering time slots | Turn on both "Work Calendar" and "Personal" so it does not double-book you |
Set availability and buffers
Calendar connection tells the AI what is busy. Settings → Availability tells it when you are willing to take calls.
Use Availability to set:
- Your timezone. This is the timezone that governs AI SDR bookings. See How do I set the correct timezone for my AI SDR?
- Working hours for each day.
- Optional Before meeting and After meeting buffers.
Buffers can be set to No buffer, 5 minutes, 15 minutes, or 30 minutes. They stop the AI SDR offering meeting slots too close to existing meetings.
Optional: connect additional accounts
If you use multiple Google or Outlook accounts, click Connect another account at the bottom. You can connect up to 5 accounts. The AI SDR can check connected calendars for conflicts and create events on the calendar you choose.
Step 2: Set Up Your Meeting Link
Open Conferencing settings
Click Settings in the left menu, then click Conferencing.
You can also click the Add Link button on the Meeting Link card in the setup modal - it takes you to the same page.
Pick your meeting link type
You will see a radio group with two options:
| Option | When to use it | What to do |
|---|---|---|
| Static meeting link | You have a permanent meeting link (Zoom, Google Meet, Riverside, or another room link) that you reuse for every call | Paste your link in the input field and click Save |
| Dynamic meeting links (Connect Zoom account) | You want a unique Zoom link generated for each meeting the AI SDR books | Click Connect next to the Zoom row and complete the Zoom OAuth flow |
If you chose Static meeting link
- Paste your meeting link into the input field. The placeholder shows the expected format:
https://zoom.us/j/1234567890, but other valid meeting URLs can be used. - Click Save.
If you chose Dynamic meeting links
- Click Connect next to the Zoom row.
- A Zoom OAuth popup appears - sign in and authorize the connection.
- When the popup closes, the row shows "Connected." Each meeting the AI SDR books will now get its own unique Zoom link.
Confirming Setup Is Complete
After connecting both your calendar and your meeting link:
-
Click AI SDR Inbox in the left menu.
-
The setup modal should be gone.
-
You will see the AI SDR inbox, ready to handle replies.
If the modal is still there, refresh the page. If it persists, double-check that both your calendar and meeting link show as connected in Settings.
Setting Up Team Members
Each team member needs to connect their own calendar and meeting link from their own account. If a team member is not showing up in the Call Assignment dropdown, it means they have not completed their setup yet.
Have them:
- Log in to their own account.
- Follow Step 1 and Step 2 above.
- Refresh the AI SDR Inbox page.
