Why does the AI SDR book duplicate meetings with different hosts for the same prospect?
A prospect enrolled in two campaigns can be booked twice, each meeting on a different host's calendar.
If you see the same prospect booked twice for the same call - same time and same meeting link, but with two different hosts - it almost always means that prospect is enrolled in more than one campaign.
Why it happens
The AI SDR tracks bookings per conversation. When it's about to book, it checks whether that conversation already has a meeting - it does not look across your other campaigns for the same person.
So when the same prospect (often reached at two slightly different email addresses, like name@company.auto and name@company.ai) replies in two campaigns, the AI SDR treats them as two separate conversations and can book a meeting for each one.
The two meetings end up with different hosts because the host is chosen per campaign: each campaign's Assigned Salesperson maps to that person's connected calendar. Two campaigns with two different salespeople therefore produce two meetings on two different calendars, both created by the AI SDR (the Edit Appointment panel shows Origin: AI SDR on each).
How to prevent it
- Don't enroll the same prospect in multiple active campaigns. Before launching a new campaign, de-duplicate your lead list against contacts already being worked in another campaign. Keeping each prospect in a single campaign is the reliable way to avoid duplicate bookings.
- Watch for the same person under different email addresses. Variations like
.aivs.autoon the same domain are treated as separate contacts, so they won't be caught as duplicates automatically. - Pick one host per prospect. If a prospect legitimately appears in two campaigns, make sure both campaigns use the same Assigned Salesperson (campaign Options tab) so any booking lands on the intended host's calendar. If a duplicate has already been booked
- Open the duplicate thread in the AI SDR inbox and check Disable AI SDR so it stops managing that conversation.
- Cancel the incorrect meeting from the host's calendar (and let the prospect know which meeting is the correct one, if needed).
- Keep the booking on the correct host - the one your operator confirmed should own the call.
Cancelling a calendar event does not automatically re-enable or re-book anything; the remaining meeting on the correct host stays in place.
