The AI SDR double-booked after I manually replied with a Calendly link - how do I prevent this?

When you manually reply to a prospect (e.g., sending a Calendly link), the AI SDR doesn't automatically know to stop...

When you manually send a Calendly link, decide whether the thread is now human-owned. Manual replies sent through the AI SDR inbox or connected mail provider should count as human takeover, but the safest workflow is to disable AI SDR on the thread before sending your own booking link.

If you reply outside the connected inbox flow, the AI SDR may not see the takeover signal in time. That can cause double-booking or conflicting follow-ups.

To prevent this:

  1. Before manually replying, open the thread in the AI SDR inbox
  2. Check the Disable AI SDR checkbox in the action bar at the top of the thread
  3. The thread will move to the AI SDR Disabled folder
  4. Now you can safely send your own reply without the AI SDR interfering

The Disable AI SDR checkbox appears at the top right of most open threads. On escalated threads, first click the X on the yellow Escalated for Review banner to dismiss the escalation and take manual control.

Best practice: Decide upfront whether a thread will be handled by the AI SDR or manually. Mixing both on the same thread is the most common cause of double bookings.

You can re-enable the AI SDR later by unchecking the same box if needed.
