Team Members & Roles

Invite team members and manage their permissions

Manage who has access to your workspace and what they can do. This page covers inviting people, picking their role, and removing access.

How to Get Here

  1. Click your workspace name in the top-left corner.
  2. Click Settings in the menu that opens.
  3. Click Members under "Workspace" in the left menu.

Understanding Roles

Each person in a workspace has one of four roles:

Invite a New Member

Only Owners and Admins see the invite form.

Step by Step

  1. Click Members in the left menu.

  2. Find the "Invite Member" card at the top of the page.

  3. Type in the person's email address.

  4. Pick a role from the dropdown (Owner, Admin, Member, or Client).

  5. Click Send Invite.

  6. A message says "Invitation sent successfully."

One at a time

You can only invite one person at a time. Type in one email address per invite.

What Happens Next

  1. The person gets an email with a link to join.
  2. They show up on the Pending Invitations tab.
  3. When they accept, they move to the Active Members tab.
  4. They can use the workspace right away based on their role.

Accepting an Invitation (What the Invitee Sees)

The Invitation Email

The person receives an email with:

  • The name of the workspace
  • Who invited them
  • An Accept button

Important

The invite link only works for the email address it was sent to. Do not forward or share the link.

How to Accept

If they already have an account:

  1. Click Accept in the email.
  2. Log in with their existing account.
  3. The workspace appears in their workspace switcher.

If they need to create an account:

  1. Click Accept in the email.
  2. Create a new account using the same email address as the invitation.
  3. Finish the sign-up steps.
  4. Click the Accept link in the email again.
  5. The workspace appears in their workspace switcher.

Manage Pending Invitations

See Pending Invites

  1. Click Members in the left menu.
  2. Open the Pending Invitations tab.
  3. If there are no pending invites, the table shows No pending invitations.

Revoke an Invitation

  1. Find the pending invitation in the list.
  2. Click the three-dot menu at the end of the row.
  3. Click Revoke Invitation.
  4. The invite link stops working. Send a fresh invite from the Invite Member card if you still need them on the workspace.

Resending an invitation

There's no in-app "resend" button. If someone didn't receive their email, revoke the pending invitation and send a new one through the Invite Member card.

Change Someone's Role

  1. Click Members in the left menu.
  2. Find the person in the list.
  3. Click the role dropdown next to their name.
  4. Pick the new role.
  5. The change takes effect right away.

Important

About Ownership: A workspace must always have at least one Owner. If you are the only Owner, you cannot change your own role until you make someone else an Owner first.

Remove a Member

  1. Click Members in the left menu.
  2. Find the person in the list.
  3. Click the three-dot menu at the end of their row.
  4. Click Remove member (trash icon).
  5. Confirm the removal when prompted.

What Happens When Someone Is Removed

  • They lose access right away.
  • They cannot see any workspace data.
  • Their past work (notes, tasks) stays in the system.
  • They can be re-invited later if needed.
