COLD EMAIL AGENT · EMAIL ACCOUNTS

Overview

Before you send any cold email, you need at least one inbox to send from. This page shows your options, where to manage them, and how to know they're ready.

Every cold email comes from somewhere — a real email address on a real domain. Before you can launch a campaign, you need at least one of these sending addresses set up. The more you have, the more emails you can send per day without damaging your sender reputation.

This page is the map of the Email Accounts section: what your options are, what's in the table, and how to tell an inbox is ready for a real campaign.

Reach it from the left sidebar via Marketing → Cold Email Agent, then click Email Accounts at the top.

Your two options for adding inboxes

Keeping your inboxes healthy

Once you have inboxes set up, these are the pages you'll come back to:

What the Email Accounts page shows

The main page is a table of every sending address you have. Here's what each column means:

ColumnPlain-English meaning
NameThe sender name that appears on outgoing emails. Click a row to open the account settings panel and edit it.
EmailThe email address itself.
Emails SentHow many real campaign emails this inbox has sent today out of its daily limit (usually 35). Shown as "12 of 35."
Warmup EmailsHow many warmup messages this inbox has sent today. These build the inbox's reputation in the background. You don't manage this directly.
Health ScoreA percentage showing how many warmup emails landed in real inboxes rather than spam. Above 80% is good. A dash means there isn't enough data yet. See warmup for detail.
Account TypeHow the inbox was added: Pre-Warmed Inbox (bought through us, warmup included), Normal Inbox (DFY, you picked the name), or External Inbox (existing inboxes, where available).
StatusActive (green, ready), Paused (yellow, you stopped it), Error (red, connection broken), or Warmup (yellow, still building reputation — not campaign-ready yet).
Warmup iconA flame. Orange means the inbox is still in initial warmup — don't attach it to campaigns yet. Green means it's ready.

External Inbox vs Connect Existing Accounts

You may see External Inbox in the table for accounts already connected to the workspace. That does not mean new self-serve connections are available: the Connect Existing Accounts card in the buying flow is currently disabled as Coming Soon.

How many inboxes do I actually need?

Each inbox can send up to 35 campaign emails per day. This is a hard platform limit, not a setting you raise manually. DFY inboxes ramp up gradually after warmup until they reach the full 35/day capacity.

Emails you want to send per dayInboxes needed
1003
3009
50015
1,00029

Why spread across many inboxes? Email providers like Gmail are suspicious of high volumes from a single address. One inbox sending 500 emails a day looks like spam; 15 inboxes each sending 35 looks like a normal business.

Start with at least 3 inboxes per campaign. Add more as you scale up.

You'll know your setup is ready when…

An inbox is fully ready to send real campaign emails only when all of these are true:

  1. Status = Active (green).
  2. Flame icon = green (not orange).
  3. Health Score = 90% or higher (or a dash if brand new but flame is already green).

If any of those are off, hold off on adding that inbox to a campaign. Domain authentication for platform-managed inboxes is handled during provisioning; if Active inboxes still show DNS or connection errors, use Feedback in the sidebar so support can inspect the managed domain.

If something's not right

If the table says No email accounts found matching your search, clear Search email accounts... and reset the Status filter to Status. Your inboxes may just be hidden by search or filter settings.

If an inbox is stuck in the orange-flame phase, errored, or has a low health score, start with Health & troubleshooting — most of the common issues are covered there.
