Why is the AI SDR asking prospects for their times instead of offering slots?
What happens when the AI SDR can't find available calendar slots, and how to fix it so the AI proposes times again.
When everything is working normally, the AI SDR proposes specific meeting times to prospects based on your calendar availability. If the AI is instead asking the prospect to share times that work for them, it means no open slots were found within the scheduling window.
Why this happens
The AI SDR searches the next 14 days of your calendar for slots that pass all of these checks:
- Inside your availability hours (Settings → Availability).
- Not blocked by existing events on your connected Google or Outlook calendar.
- Respect your buffer time settings (before/after meetings).
If every slot in that 14-day window fails one or more checks, the AI has nothing to offer and falls back to asking the prospect for their preferred times.
The 14-day scheduling window
By default the AI looks 14 days ahead. If a prospect specifically requests a date further out, the window extends up to 60 days — but the initial scan always covers the next two weeks.

Once open slots appear within the 14-day window, the AI SDR will go back to proposing specific times automatically — no setting change needed beyond freeing up availability.
