Which meeting link should I configure — mine or my client's?
If you're running a client's workspace, use the client's calendar and meeting link.
For agency-run workspaces, the answer is almost always: the client's calendar and the client's meeting link. The campaigns are running under the client's brand and the prospect is expecting to talk to them, not to you.
The Assigned Call Handler is the setting that controls who actually receives the calendar invite and takes the call.
Quick rule
| Scenario | Calendar to connect | Assigned Call Handler |
|---|---|---|
| You run outreach and take the calls yourself | Your calendar | You |
| You run a client's workspace, client takes the calls | Client's calendar | The client (or specific salesperson at the client) |
| You run a client's workspace, you take discovery calls | Your calendar | You, with a handoff note in your KB entry |
| Team setup — different reps per campaign | Each rep's own calendar | Set Assigned Salesperson on each campaign |
Why the client's calendar wins by default
- The invite comes from the calendar you connected. If the prospect gets a meeting invite from your-agency@gmail.com but expected one from sales@clientco.com, that's confusing and kills trust.
- Replies to the invite go to the calendar owner. If the prospect needs to reschedule, they reply to whoever the invite came from — you want that to be whoever will actually take the call.
- Free/busy comes from the calendar. If the AI proposes a Tuesday 3pm but the client is already in a meeting, you only know that if it's the client's calendar that's connected.
How to set Assigned Call Handler
For the workspace default, go to Settings → AI SDR Agent → Call Assignment → Assigned Call Handler.
For a specific campaign, open the campaign → Options → Assigned Salesperson → pick the team member.
The handler must be a member of the workspace. Invite them first (Settings → Members) if they aren't in yet.
Don't mix — pick one and stick to it
A common mistake is connecting your own agency calendar but assigning calls to the client, or assigning a client who has not connected their own calendar and meeting link. Match the selected handler, their calendar, and their conferencing link to the same person.
